4 Steps to Handle Email like a Pro

BENGALURU: Emails have become an important part of communication for Gen X irrespective of the purpose of usage—corporate or personal. But people are still struggling on using emails effectively. So, to handle emails like a pro you need to make these four techniques a habit:

Check Inbox Daily: Have a habit to check emails daily; it just takes 10-15 minutes to go through all the unread mails. Checking emails each day will drastically reduce the workload. Make sure all the unwanted mails go to trash. Also, mark as ‘Unread’ the mails which are very important and needs more time to work. Such daily activity will help to segregate all the wanted from the unwanted emails. 

Send Fewer Mails to Receive Less: Think properly before sending an email. Review it before clicking on the Send button. Check if all the required recipients are added or not, ensure that all the subject details are properly mentioned while composing an email. This will reduce the chance of sending the same email to the left out recipients. Thus, reducing the number of emails you receive in your inbox.            

Unsubscribe Unwanted Emails: There are instances where you get emails from websites due to subscription.  As time passes some emails become unwanted. The best action to be taken on such mails is after opening the mail, you will find an unsubscribe option below the mail. Just click on that and unsubscribe. This will prevent unwanted emails accumulating on your inbox.  

Stack Your Mails in Order: If you are operating emails for corporate use, then you might have found it difficult to search an email from a particular department. For instance, searching a particular email from design department or marketing department in the heap of all the mails in the inbox is a laborious work. This process will take a longer time.  So instead of scrolling up and down, create Labels and apply it for every email specific to the department. Label will reduce the time spent for searching and improves the efficiency.
